OUR RESPONSIBILITY

The Property Management team shall be responsible for the following;

  • Invoicing of all bills e.g service charge / water bills. The invoicing of bills will be done on monthly/ quarterly/ half yearly/ yearly basis and the service charge monies deposited in the account advised by the owners.
  • Prepare the statement of account on Monthly, Quarterly or annually based on the company client agreement. Audit shall be conducted by the management committee appointed auditors after every financial year, any variance from the audit of service charge will be distributed pro-rata or forwarded to the next financial year.
  • Coordinate and supervise day to day operations within & without the premise/compound by:
  1. Ensuring grounds, pavement and walkways are kept clean and in good state of repair.
  2. Ensuring perimeter wall and that of the building remains structurally sound and repair any cracks that may appear.
  3. Ensuring that the exterior of the building is always attractive and appealing.
  4. Ensuring that the roof remains resistant to water leakage.
  5. Ensuring that the electric fencing is continually operational.
  6. Ensuring regular cleaning of the interior common areas.
  7. Ensuring that common lighting fittings are in good shape.
  8. Ensuring that the occupant of the building dispose off their garbage in a hygienic and responsible way.
  9. Ensuring that the cleaning service provider is doing a
    remarkable job and is paid monthly.
  10. Ensuring that the insurance is paid promptly (optional but advisable).
  11. Ensuring communication between service providers and the shareholders.
  12. Ensuring to contract and supervise service providers.
  • Do all the book keeping and statements as required. These are of special concern to the management as they facilitate proper forecasting of income expected within a certain period of
    time as well as highlighting the key items that need to be considered during a particular financial year. The key features in Budget and Reports are: A month-to-month statement of accounts with all supporting documents.
  • Engagement of staff;
    When necessary we engage staff to carry out the work of property management, such staff may include caretakers, electrician, plumbers’ secretaries and this will be agreed with the landlords, as these employees will be employed by the Developer/landlord/Executive committee.
  • Advise the landlord/ management
    On all matters relating to the property in order to keep them abreast with the goings – on in the market. Such advice will relate to areas such as taxes, legal suits arising from tenancies, rent reviews, Ground rents, Site Value tax, and possible improvements to the building for more efficient management etc.
  • Services charge administration:
    We ensure that the Owners and Tenants in the building
    receive adequate service for the service charge paid. Service charge is ideally not income for the landlord but used to cater for common services, such as:
  1. Cleaning of common areas.
  2. Garbage collection
  3. Security
  4. Gardening work and landscaping
  5. Common area electricity.
  6. Swimming pool maintenance
  7. Generator maintenance
  8. Gym maintenance.
  9. Land rates and rent payments.
  10. Auditor services.
  11. Pest control and fumigation.
  12. Borehole pump maintenance.
  13. Maintenance of children play area.
  14. Maintenance of security access system.
  15. Maintenance of fire extinguisher.
  16. Maintenance of electric fence.
  17. Office stationary. Internet etc.
  • Ensuring coordination of tenant’s turnover by keeping records of tenants who are checking in or checking out. Owners shall be informed before tenants check out to ensure that they clear all their
    obligations.
  • Ensuring assessment of required repair and maintenance work: Property management team shall periodically assess the type and nature of repairs required in the building so as to keep it in a good state of repair and thereby enhance its attraction to existing and potential tenants. The repair jobs shall be awarded to suitable contractors at reasonable costing after calling for several quotations depending on the magnitude of the work to be done with consultations and approvals from Developer/Landlords/Executive management committee.
  • Reviewing performance of existing service providers. Property Management team shall from time to time asses the performance of contracted service providers to determine wether they are are performing well and in accordance with their contract’s terms of agreement. In the case where they are not, we shall recommend to the Developer/landlords/Executive committee, that alternative quotations be obtained and the best one, based on experience of the service provider, cost implication of the assignment, etc. be accepted.
  • Others
    Co-ordination of maintenance of mechanical and electrical services e.g. Lifts, air conditioners, boosters, pumps, firefighting equipment, generators, stabilizers and power factor equipment, etc. Any other matters relating to the property that they may request the management to act as a representative for the efficient management of property. We seek all approvals and get several quotations for any work to be done for accountability.
